RE: Electronic Visit Verification (EVV) – Automated Email Alerts
Dear CBAS Providers,
The California Department of Aging (CDA) has received questions
about a series of automated email messages generated by CDA’s
Electronic Visit Verification (EVV) technology partner, Sandata
Technologies, LLC. (See a sample of the referenced email, below.)
In most cases, these Sandata emails can be safely disregarded by
CBAS centers.
CBAS providers should act on these Sandata emails only under very
limited circumstances involving Emergency Remote Services (ERS).
CBAS centers are required to report ERS activity in the EVV system in
two instances only:
1.
When actual in-home care services are rendered to a CBAS
participant under ERS. For a complete list of CBAS Core and
Additional Services that fall under EVV, click HERE.
2. When ERS services are rendered to a participant in the community.
A few examples of CBAS/ERS services provided “in a community
setting” would include CBAS/ERS furnishing participant
transportation to medical visits, participant shopping trips,
community outings to local parks, theaters, etc.
Excluded
from the above EVV reporting requirements are any
“doorstep” or “telephonic” care services delivered to CBAS/ERS
participants. Examples of doorstep services include meal drop-offs or
the delivery of “activity kits” containing games, books, puzzles,
newspapers, arts/crafts materials, etc.

Subject: Important Message from CalEVV
Dear Provider Administrator,
Our records indicate that you are not in full compliance with EVV. Our
systems show that
you have completed self-registration but are not
sending Cures compliant data to the state.
After completing self-registration, the following are the steps that you
need to complete to be compliant when using the CalEVV state-
supplied system.
1. Complete Training: Use the email from do-not-
[email protected] to complete the required initial CalEVV
system training. Check your spam/junk folder for this email.
NOTE: You will need the CalEVV Identifier number you received
when you completed self-registration. Save the certificate
available from the training screen.
2.
Set up CalEVV Account: You will receive an email with
information on how to set up your CalEVV account called a
Welcome Kit. Save all the information sent to you in your
Welcome Kit email. Use the recorded videos available in this email
to help set up your account. Use the information from the CalEVV
system data entry training to set up your clients and employees, if
needed.
3. Provide Staff Training (if applicable): Use the recorded videos
accessible to you in your Welcome Kit email to train your office
staff and direct care staff.
4. Start Collecting EVV Visit Data: Direct care staff collect EVV visit
data when providing services and the office staff use the portal to
check that visits are Cures compliant or ‘verified’.
